Your Google Calendar is already a timesheet

You colour-coded it, you booked every client call in it, you checked it four times today. It's a record of your week. VibaCloud turns it into the timesheet and the invoice.

The gap between what you did and what you billed

Ask most freelancers what happened to their hours and you get the same answer. The work happened. The billing happened. The two are related but nobody can show the working.

That gap is where money goes missing, and it's rarely dramatic. It's the call that ran forty minutes past its slot, the second read of a brief, the Thursday you spent entirely on one client and rounded down to be polite. None of it gets billed because by the time you sit down to write the invoice, it's gone.

Your calendar remembers all of it. It was written down at the time, by you, before anyone needed it to be evidence.

Three steps. That's the whole thing.

  1. 01

    Connect Google Calendar

Sign in with Google, pick a week, import. The permission is read-only, so VibaCloud can read your events and nothing more. It never sees Gmail or Drive.

  2. 02

    Tag events to clients

Each event becomes a draft line waiting for a client and project. Work that repeats, and most of it does, gets recognised and tagged for you, so the job shrinks every week you use it.

  3. 03

    Adjust the hours and submit

The week shows up as a Monday to Sunday grid. Stretch the call that overran, bin the one that got cancelled, tick what's billable, submit. The billable total is now a number you can stand behind.

Work that never made it into an invite still counts. Add those lines by hand on the same grid and they total up alongside everything else.

If you already keep a calendar per client

Plenty of consultants do, and it turns out to be the fastest possible setup. Events keep the calendar they arrived from, so instead of tagging thirty things one at a time you're confirming that a client's calendar belongs to that client's project. A week takes about a minute.

The same goes for colour coding. If you've been marking billable work in one colour for years, you've been keeping a timesheet the whole time without calling it that. This is the part where it finally pays you back.

None of which requires you to change how you use your calendar. That matters more than it sounds, because every time-tracking tool that failed you before asked you to adopt a new habit on top of the one you already had. This one reads the habit you've got.

Questions people ask first

What does VibaCloud actually get access to?

Calendar events, read-only. It can't create, edit or delete anything in your Google Calendar, and the permission doesn't extend to Gmail, Drive or contacts. You can disconnect it from your Google account settings whenever you like.

I keep a separate calendar per client. Does that work?

It works better than one big calendar. Events remember which calendar they came from, so a whole client's week can be tagged in one go rather than event by event.

Does it work with Google Workspace?

Yes, the same as a personal Google account. On Workspace your admin may need to approve the connection first, which is standard for anything reading a company calendar.

What about events I was invited to but skipped?

They import as drafts along with everything else, and you delete them in the grid. Nothing lands on a submitted timesheet without passing under your eye first, which is deliberate. A calendar records what was planned, and the two aren't always the same.

Can I invoice from it?

Yes. Set a rate per project, and submitted billable hours turn into an invoice with one line per project. Download it as a PDF or email it to the client, with your payment details on it.

Is it free?

Free on your own, and that includes the invoicing. No card details. Team accounts for firms, which add a shared client list and approvals, are a paid plan.

Import last week and see

The quickest way to judge this is on a week you've already lived. Connect your calendar, import the one that just ended, and count how many lines were waiting for you.
