Billing by the hour? Put the hours in Quantity and your hourly rate in Unit price. For a fixed fee, a quantity of 1 and the whole amount as the price works just as well.

How it works
- Fill in your details and your client's. Your name or business name, contact details and tax number if you have one, plus the name and address of who you're billing.
- Add your work as line items. A description, a quantity and a unit price per line, whether that's hours at an hourly rate or a fixed fee. The amounts and invoice total are calculated for you.
- Set tax and payment details, then download. Choose how tax applies, say how you'd like to be paid, and download the finished PDF.
Frequently asked questions
Do I need to sign up to download the invoice?
No. There's no account to create, no email address to hand over and no trial to start. Fill in the form, click Download PDF invoice, and the file saves straight to your device. An account is only worth having if you want your logo on the invoice and your details filled in for you next time.
Is this invoice generator really free?
Yes. There's no sign-up, no watermark and no locked features. Fill in the form and download your PDF invoice. Nothing you type is stored on our servers.
What should an invoice include?
An invoice needs the word "invoice", a unique invoice number, your name or business name and address, the client's name and address, the date, a description of the work, the amount due, when it's due and your payment details. If you charge tax (VAT in the UK and EU, sales tax in the US, GST in Australia or New Zealand), show your tax number and the tax amount too. This generator covers all of those fields.
How do I add tax (VAT, sales tax or GST) to an invoice?
Set your tax rate, then choose how it applies. Add tax on top means your rates are net and the tax is added to the total. Rates already include tax means the total stays the same and the tax within it is disclosed. The generator calculates the tax line either way, and labels it VAT, Sales Tax or GST to match your currency.
Can I add my logo to the invoice?
Yes, and you don't need an account. Upload a PNG or JPEG up to 512 KB and it goes straight onto your PDF at the top, where the word "Invoice" would otherwise be. We don't keep a copy. With a free VibaCloud account you upload it once in your invoice settings instead, and it appears on every invoice you create from then on.
How do I stop chasing late payments?
Clear payment details and terms on the invoice help, but the biggest difference is a polite reminder when an invoice goes past its due date. A free VibaCloud account can email your invoice to the client and automatically send up to three polite reminders while it stays unpaid.
Invoicing shouldn't be typing
VibaCloud builds your timesheet from the meetings already in your Outlook or Google calendar, turns submitted weeks into invoices in one click, and chases late payments politely so you don't have to. Free to try, no card needed.
